What do the “Map xxx Optional Fields” commands do?

Optional fields can be mapped to "User Defined Fields" (UDFs) on the Project Data, Resource Data, and Effort Forecasts sheets. The Project Data and Resource data tables (sheets) each have 60 UDFs; the Effort Forecasts sheet has 15 UDFs. The types of values that can be mapped to UDFs are described in the sections below. Lookup lists are created and mapped by PDWare administrators. Calculated fields and on Effort Forecasts fields from other tables are mapped by any user.

Lookup lists

The PDWare administrator can define lists of values and assign each list to a UDF on one of the three tables.

Such UDFs are locked to prevent direct entry in the cells. Right click in a selection of one or more cells in a field (column) presents a dialog with the defined values.

Calculated/Control fields

Users define Formula fields which can be mapped to Project Data UDFs. The Project Data UDF can be mapped to an Effort Forecasts UDF. Formula fields are not available on the Resource Data sheet.

A number of calculated value fields is available for each of the Project Data and Resource Data tables. For example, the Current Phase field is available for mapping on the Project Data sheet. When mapped, the UDF shows the phase the project is in on the day of that PDWare session.

Fields from other tables (Effort Forecasts only)

Any field from the Project Data or Resource Data sheet can be mapped by the user to a UDF. Resource fields mapped to Effort Forecasts UDFs do NOT have values on skill assignments. Project Structure or Hierarchy fields are a special case of mapping project fields to Effort UDFs.

User Field Mapping

To map fields select View > Views, Reports, Fields > Map {sheetname} Optional Fields:

Select a destination field and an available calculated field and click the “>” button to define the mapping.

The operation unhides the unused UDF columns, sets the column title to the calculated field name, and populates the field with values. In this example, Region is a lookup list field set by the administrator.
